What is a Set?

Sets group together multiple items in your Project. You can add Cards, Boards, Lists, Kanbans and Rundowns to a Set. They allow you to connect different types of items in a set.

Here are some examples of when a Set might come in handy:

  • If you created multiple Edit Rundown Boards for Episodes, you could create a Post Production Set so that those Boards can be grouped together
  • If you worked on a Radio Show, you could have a Daily Card and the Daily Rundown Board in a Project Set for Today
  • Casting teams could have Talent Cards and a Day Schedule in a Project Set for each Audition Day
  • If you had 100 Client Cards, you could add the top ten to a VIP Set

Enabling Sets

Sets are a feature that must first be enabled in Project Settings before they can be used. 


Go to Project Settings:

1. Click your avatar on the bottom-left to open the User menu.

2. Select "Project Settings".

3. Scroll down on the Project Settings page until you see the Sets Feature. If it's not already enabled (blue), switch it to enabled. This will save automatically.



Create a Set

Now that you've enabled the Sets feature, you can create some Sets.


1. In Project Settings, click the downward arrow to expand the Sets Feature.

2. Click the plus button (+).

3. Give your Set a title, select an icon that is relevant to the theme of your Set from the dropdown menu, and then choose a colour from the colour selector.

4. Click "Add and Close"..

Your Set is ready to use!

You can click the plus sign (+) to add more Sets.


You can click the three dots next to a Set to edit, or delete it.


Add items to a Set

Now you have set up your Set, it's time to add your items.

1. Go to the item (ie Card, Board, List, Kanban, or Rundown) and click the downward arrow on the top-right, to expand the toolbar.

2. Click "Set" in the toolbar. The "Add to Project Set" dialog will open. 

3. Click the dropdown menu to view all Sets available for the Project.


4. Select the desired Set. You can select more than one Set.

5. Click "Save".

The Set's icon will display in the item's toolbar.

Here is an example of a Card that is in two Sets: 


Bulk add/remove items from a Set

You can add or remove multiple items to/from a Set, anywhere that bulk actions are available (ie Library, Lists, Boards, Kanbans).


The following demonstration is for bulk actions on the Library, but the process is the same to add Cards to a Set from a List, Board or Kanban.


1. Open the Library  from the sidebar.

2. Select the items you want to add to a Set. The bulk actions menu will open.

3. Click the Set icon  on the bulk action menu.

4. Choose action: 

  • "Add to existing" - will add the items to any Sets you select, without removing them from any existing Sets they are in. 
  • "Replace all with" - will remove them from their existing Sets, and add them to any Sets you select.
  • "Remove values" - this will remove the items from whatever Sets you select.

5. Select Set(s).

Click "Save".

Access your Sets

1. To access your Sets, click the Search iconin the sidebar menu.

2. Click on "Sets" to expand it. 

3. Click on the Set that you want to access. It will expand to display all items in the Set.

4. From here you can click on an item to open it.


Here is an example Crewing / HR Set with a Role Card, Crew Tracker, Crew Card, and Resource Card.

Add a Set to the Dashboard

You can add Sets to the Dashboard for ease of viewing and accessing. 


1. Click the Search iconin the sidebar menu.

2. Click on "Sets" to expand it. 


3. Hover over the Set you want to add to the Dashboard, and click the three dots that appear on the right.

4. Click "Add to Dashboard".

5. Choose your settings (ie whether you want a header, the header background and text colour).

6. Click "Create".


Your Set will be added to the Dashboard. You can click into the items to open them from here.

Remove item from a Set

To remove or update an item's Set(s):

1.  Open the item (ie Card, Board, List, Kanban, or Rundown) and click the downward arrow on the top-right, to expand the toolbar.

2. Click on the "Set" icon in the toolbar.

3. On the "Add to Project Set" dialog select or deselect Sets from the dropdown menu.

4. Click "Save".


Edit the Name, Icon or Colour of a Set

You can edit the colour, icon or name of a Set in Project Settings. 


1. Click your avatar on the bottom-left to open the User menu.

2. Select "Project Settings".

3. Click the downward arrow to expand the Sets Feature.

4. Click the three dots next to the Set you want to edit.

5. Select "Edit".

.6. Here you can edit the name, pick a different icon or change the colour. 

7. Click "Save".


Note, editing the details of a Set (ie name, colour or icon) will not remove existing items from the Set.
