Office 365 


Lumi is integrated with Microsoft Office 365. 

If you have an existing Microsoft Business or Student account, you can edit documents live and collaboratively online within Lumi.

The first time you try to open a document in Lumi, it will ask you to log in to your Microsoft 365 account. You'll only have to do this once. 

If you don’t have a Microsoft account you can still view, download and upload word documents to Lumi.



Uploading Docs & Media to your Project 


You can upload existing documents & media to your project from your computer (word, excel, PDF & pictures etc) by pressing this button  in the top right corner of your screen. 



Accessing Docs & Media 

You can find and access all files and media in your Project via your Project Library. Hit the bookcase icon on the far left 

Here you can narrow down your search using file types etc. 


Press on the button with the three little dots next to each file to download, rename, delete or add to Dashboard etc.




Attaching Docs & Media to Cards 


You can upload documents & media or link existing media to a particular Card by pressing this button
within your card


Select either "Choose Files" to upload from your Computer 

or "Choose from Lumi" to link a document or media that has already been uploaded to Lumi. Images and documents can live on multiple cards at the same time, so if you update them on one card, they update everywhere.... so no need to duplicate them. 

Once your documents & pics are uploaded to your card you'll notice a little picture icon with a green number count on the far left, please click it to access your files. 

Here you can see a list of all files, you can use the button with the three dots next to each file to rename, remove (from card) delete (from whole system) add to dashboard or set the default card image etc.

Change your view to thumbnails by pressing this icon top right 


Creating Documents

To create a new document with Lumi, press this iconon the left hand side of your screen then "Document". 


Select document, spreadsheet or presentation, give your Document a Name, then hit Add or Add & Open.





Editing Documents in Lumi


If you have an Office 365 account, you can edit documents in Word Online, spreadsheets in Excel Online and presentations in Powerpoint Online from within Lumi, there is no need to download and re upload them.


Just click to open any file.


Afrer you open a file, hit "Edit in Browser" and sign in using your personal or work Office 365 account. 

Save your password so you don't need to log in again.


To switch accounts or sign out, go to portal.office365.com

Media Categories

Media categories allow you to sort and relate files by whatever you need. They can be uncategorized or in multiple media categories to suit any purpose.

In the media section of a Card, you can easily add a file to a category, create a new one or edit existing categories. Start typing where it says "Add" to add a category to this file. 


Search through and click to select from existing categories. If you have no media categories in the project or you need to create a new one, you can add one by pressing "Add/Edit categories" at the bottom of this window.


To create a new category, give it a name and hit "Add". You can add multiple categories from this window or edit existing categories by pressing the three dots next to the category.

Media Views

You can easily switch your media views to different modes for different purposes. You can see all of your attachments in a list, separated by their categories or as thumbnails to make it easier to see all image attachments.

Press this in the top right menu of your media attachment window to change your view from all media to sorted by categories and back to all attachments.

Press this to change your view from list to small thumbnail or big thumbnails which is useful to see all images.

Press this to manage media categories. 


If you click on an image, you can see the details and easily tab through all of your files by selecting the arrows on either side.

Adding Documents to your Dashboard

 Hit the bookcase icon on the far left 

Find your File 


Press on the button with the three little dots next to it and select Add to Dashboard.

The pop up window will give you the option to "Show Header" or just add to Dashboard.  You can choose whether or not to put a header on your item and choose a colour for the font and background.


When you're finished, hit "Add".




Vaulting / Hiding Documents 


You can vault a document in Lumi so only you, or certain members of a vault can access.  For anyone else, they won't be able to see it at all.


First of all, create a Vault. Every Lumi user has a Personal Vault or you can create a new one with other Users.


Creating a Vault 


Press this icon on the far left of your screen. 

Press + to create a new Vault 

Then press the small + on the top right to add users to your Vault 


Simply type their name and hit Add 


Adding Documents & Media to your Vault


Hit the bookcase icon on the far left 

Find your File 


Press on the button with the three little dots next to it and select Add to Vault 


Find your Vault and hit save 

You'll now notice this vault icon wherever this document exists, and only users in that Vault will be able to see it. 


Note: You cannot add a card to a Private/Personal Vault unless you are the owner of that document and any card it is linked to.
